Understanding user access: Roles and licences

In MYOB Acumatica, a user's access to screens and features is determined by both their assigned licences and roles.

A user needs at least one licence and one role to use the system. They will have access to any features available to both their role and licence — if either their role or licence restrict access to a feature, then they cannot use it.

What's a "feature"?

What we're calling "features" in this article are technically known as system objects. A system object can be a whole form, a tab on a form or even a single button or field.

User licenses

A number of user licences of different types come with your MYOB Acumatica subscription.

Some licences (such as a Full User) give broad access across the entire system, others (incuding Project User and Employee User) only give access to a specific set of features.

You can allocate user licences on the Users form (SM201010), and see how many you have left on the Licence Maintenance form (AP3030PL) and Licence Usage Report (MYSM6000).

Overallocated licenses

If you are using more licences than your subscription allows, all users will lose access to MYOB Acumatica after a short grace period.

If you see a warning message, check your licences carefully across all tenants.

If you need more user licences, contact your customer success manager.

User roles

User roles let you control user access with a great deal of detail. You can use them to limit access to sensitive information, control visibility between branches, reduce the ability of users to edit things they shouldn't, and much more.

In addition to the large number of preconfigured roles designed to meet typical requirements, you can create and customise your company's roles to meet your specific needs.

You can assign roles to users on the Users form (SM201010), and create or edit them on the User Roles form (SM201005).
