Set up 2FA before 30 September

From September 30 this year, you must use two-factor authentication (2FA) to log in to MYOB Acumatica (formerly MYOB Advanced).

What do I have to do?

If you already use the purple Secure Authentication button then you’re sorted – you don’t need to do anything more.

If you currently use the green Sign in button to log in to MYOB Acumatica, you need to sign up for a new MYOB 2FA user account and choose and set up an authentication option (normally an authenticator app like Microsoft Authenticator). Your new MYOB 2FA account replaces your standard login, so once you’ve set 2FA up, you’ll sign in using the purple Secure Authentication.

Signing up for a new MYOB 2FA account

To sign up for a new MYOB 2FA account, you need to sign in to MYOB Acumatica the way you normally do (using the green button) and then launch the MYOB 2FA sign-up process from the External Identities tab of your User Profile screen:

  1. Sign in to MYOB Acumatica as you normally do, using the green Sign In button.

  2. In the top right, click your username and then click My Profile.

  3. Go to the General Info tab and check the email address is correct. If it isn’t your own work email address, see the FAQ below. MYOB 2FA does not work with shared email addresses.

  4. On the User Profile screen, click the External Identities tab.

  5. Select the row with MYOB in the Provider Name column by clicking anywhere in the row.

  6. Click Associate User.

  7. Follow the instructions to set up a new MYOB 2FA account.

    • Make sure you use the same email address you checked on your user profile.

    • If you get the error “The email address has already signed up to MYOB”, you might already have an account. Click Log in and follow the instructions on the Sign in to MYOB screen. See the FAQ below for more help.

    • To make authentication easy, we recommend using an app such as Google Authenticator (Available on Google Play and Apple App Store).

    • This is a new account, so even if the username and email address match, you should use a new password.

    • The new login you create here replaces your old password and username when signing in to MYOB Acumatica.

  8. Once you’re all set up, start signing in to MYOB Acumatica using the purple Secure Authentication button and your new username.

FAQs

What email address should I use to sign up for MYOB 2FA

Use the the same email address for MYOB 2FA as you use for your MYOB Acumatica user profile. 

So you can authenticate, it also needs to be a unique email address that you have access to – normally just your own work email address. It can’t be a shared inbox email address or someone else’s email address.

If you’re not sure about what email address you should use, check with your manager or your MYOB Acumatica site administrator.

I might have signed up for 2FA in the past, but I'm not sure

If you think you may have signed up for MYOB 2FA in the past, start by following the sign-up instructions above.

If you do already have an account, you’ll get the error message “The email address has already signed up to MYOB.” when you try to sign up. See the next FAQ to fix it.

I get the alert, "The account already exists. Please sign in as this account or sign up with a different email address."

The account already exists

This error means you do have an MYOB 2FA account, but the account is not linked to your MYOB Acumatica user profile.

To fix this yourself, you need:

  • to know the password for your 2FA account, and
  • have access to the 2FA method for that account (e.g. the phone you used to receive 2FA codes by text).

If you have both, follow the steps below. Otherwise, contact your usual support person for MYOB Acumatica instead.

  1. Click Already have an MYOB account?. The Sign in to MYOB screen opens.
  2. Enter your email address and click Next.
  3. Enter your password and click Sign in. Your MYOB 2FA account is now linked to your MYOB Acumatica user profile. You can use the purple Secure Authentication button to sign in.

I get the alert, “The email address and/or password used for authentication are invalid”

This error means you do have an MYOB 2FA account, but the account is not linked to your MYOB Acumatica user profile.

To fix this, follow the instructions above to sign up for a new MYOB 2FA account, but when you get to the Sign in to MYOB screen, click Log in and sign in that way.

This associates your MYOB 2FA account with your MYOB Acumatica user. You can now use the purple Secure Authentication button to sign in.

I get the error, "The system cannot process an external authentication"

The system cannot process an external authentication

You can try fixing this error by using the purple Sign in with Secure Authentication button to sign in.

If that doesn't work, your company's MYOB Acumatica administrator needs to reset your 2FA. They can find instructions for resetting your 2FA on the fixing sign-in issues for users page.

I’m trying to reset my password, but I haven’t been emailed any instructions

This normally happens if you use the purple Secure Authentication button to sign in using MYOB 2FA, but no account has been created for the email address you’re using.

To fix it, sign in to MYOB Acumatica the way you normally do (using the green Sign in button) and follow the instructions above to sign up for a new MYOB 2FA account. Make sure the email address on your User Profile matches the email address you’re using to sign up for MYOB 2FA.

I also use other MYOB software with 2FA (e.g. MYOB Business or MYOB Practice)

You can use one MYOB 2FA account to sign in to many MYOB products:

  • MYOB Acumatica

  • MYOB Business

  • MYOB AccountRight

  • MYOB Practice

If your email address is already being used for 2FA for one of these other products, follow the instructions above to sign up for a new MYOB 2FA account, but when you get to the Sign in to MYOB screen, click Log in and sign in that way.

This associates your MYOB 2FA account with your MYOB Acumatica user. You can now use the purple Secure Authentication button to sign in.

MYOB Acumatica — Workforce Management uses a separate account from the rest of MYOB Acumatica.
