Termination has incorrect annual leave YTD amounts (NZ)

On the Unused Annual Leave tab of the Termination window, there are two main causes of incorrect annual leave YTD amounts: missing schedules and adjustments to previous pays.

To see how the amount was calculated, you can click it to open the AL YTD Gross Earnings Inspection window, which shows you how the amount was calculated.

Missing schedules

When migrating to MYOB Acumatica — Payroll from another payroll solution, employee pay history is imported, but employee work schedules are not imported.

If schedules are missing in the pay period with the employee's annual entitlement anniversary, MYOB Acumatica uses 100% of that pay period in the AL YTD gross earnings calculation to help prevent an underpayment on termination.

A warning appears in the Termination window and in the AL YTD Gross Earnings Inspection window to let you know the result may be imprecise until the schedule is corrected.

To make the calculation more precise, add the missing employee schedule entries, ensure Scheduled Hours are populated, and then recreate the termination.

Adjustments were made to previous pays

Annual leave YTD calculations for terminations are calculated for each pay and added to a running total from the previous pays. This means that any calculation errors in completed pays will continue to affect AL YTD gross earnings until it resets to zero, which happens when an employee reaches their entitlement anniversary date.

In this case, you might need to manually calculate the final pay amount for unused annual leave by using pay items in the completed pays that have errors. Then, override the final unused annual leave accrual payment value in the Termination window.
